**![Construction Crew Time Tracking Across Multiple Job Sites: How to Stay in Control](https://blog.tasktag.com/hs-fs/hubfs/3%20-%202026-09-30T213759.857.jpg?width=1620&height=1215&name=3%20-%202026-09-30T213759.857.jpg)A construction company running five simultaneous job sites with three crews doesn't have a payroll problem — it has an information problem.** At 7am, the PM can't see which crews made it to which sites, whether the crew that was supposed to start the foundation work at Site 3 actually showed up, or whether the workers who clocked in at Site 1 are actually on site or still in the parking lot. By the time that information arrives — a foreman's text, a paper timesheet at the end of the week — decisions that needed to happen at 7:15am are happening at 4pm on Friday.

**Construction crew time tracking across multiple job sites is fundamentally a visibility problem, not a payroll problem.** Payroll is the downstream consequence of good or bad time records. The upstream problem is that without GPS-verified, real-time time data, the PM is managing by assumption: assuming the crew is where the schedule says they should be, assuming the hours are what the foreman estimates, assuming the cost codes are roughly right. Each assumption is a data gap that shows up as payroll disputes, job cost report delays, and budget overruns that should have been caught three weeks earlier.

This guide covers how multi-site [construction crew time tracking](https://blog.tasktag.com/construction-time-tracking-software) works in practice — how to structure projects and crews in the system, how GPS verification handles workers who move between sites, how cost codes keep job cost data clean across a company running multiple jobs simultaneously, and what the superintendent sees in the real-time dashboard that changes how they manage the day.

---

## The Multi-Site Time Tracking Problem in Concrete Terms

**Consider a company running six active jobs simultaneously:**

- Job 101: Commercial tenant improvement, downtown — 4 direct employees
- Job 102: Residential custom home, Phase 2 framing — 6 direct employees + 3 sub crews
- Job 103: School renovation, occupied building — 8 direct employees, prevailing wage
- Job 104: Small commercial remodel, starting this week — 2 direct employees
- Job 105: Warranty work from Job 87, one day this week — 1 direct employee
- Job 106: Estimating and preconstruction only — no field labor yet

**Without GPS-verified crew time tracking, this is what happens:**

Each job has a paper sign-in sheet or a foreman collecting verbal clock times. At the end of the week, foremen text or email their hours. Someone in the office manually enters these into the payroll system. Job cost codes are applied from the foreman's memory of what work each person did on each day. The process takes 4–8 hours of payroll admin time per week.

Errors in this process: workers whose hours were forgotten or recorded for the wrong day, cost code misattribution because the foreman can't remember whether Tuesday's framing hours were on the main structure or the exterior deck, and at least one worker who was clocked in for hours they weren't on site.

**With** [**construction time keeping software**](https://blog.tasktag.com/construction-time-tracking-software)**:**

Every worker clocks in from their phone at the job site. GPS coordinates captured at clock-in confirm location. Cost code selected by the worker or assigned by the foreman at clock-in. The PM opens the dashboard at 7:30am and sees every crew on every job — who's clocked in, from where, on what code, for how long. Payroll exports at end of week without manual entry. Job cost reports show actual hours by cost code, updated continuously throughout the week.

## Setting Up Multiple Job Sites in Construction Time Tracking Software

**The setup structure determines whether the crew time tracking system produces clean data or a mess that's harder to untangle than paper.** Every active job should be a separate project in the system, with cost codes specific to that project's scope, and crew assignments that reflect which workers are deployed to which site.

**Project setup per job:**

Each job number in the project management system becomes a corresponding job in the [construction time tracking app](https://blog.tasktag.com/construction-time-tracking-software). The setup for each project includes:

- **Job name and number:** Matches the company's job cost system exactly — not a nickname or abbreviation that creates reconciliation work
- **Cost codes:** Loaded for the specific scopes in this project — concrete, framing, MEP, finishes, site work — not the company's master list of 200 codes
- **Crew assignments:** Which direct employees are assigned to this project as their primary job
- **Geofence:** Boundary drawn around the physical site — workers can only clock into this project when inside the boundary
- **Prevailing wage flag:** Marked if the project has prevailing wage requirements — certified payroll exports automatically generated for flagged projects

**Cost code structure for multi-job companies:**

Use consistent cost code numbering across all projects so reporting across jobs is comparable. If concrete formwork is code 03.100 on Job 101, it should be 03.100 on Job 102. Codes that mean different things on different jobs make company-wide labor analysis impossible.

**Worker assignment logic:**

- Primary assignment: the job where the worker spends most of their time
- Multi-job workers: workers who regularly split time between jobs should be assigned to all active projects, with the GPS geofence determining which project clock-in they can access at each location
- Floating labor: workers who move frequently between jobs should be unassigned (or assigned to a "floating" designation) so supervisors can manually direct them to the correct project each day

---

## GPS Verification When Workers Move Between Sites

**The most common multi-site time tracking problem: a worker legitimately worked at two different job sites in one day, and the time records need to reflect which hours went where.** Without GPS verification, this requires the worker to remember what time they left Site A and arrived at Site B, and for a foreman to confirm that recollection. With GPS-verified [construction employee time tracking](https://blog.tasktag.com/construction-time-tracking-software), the record is automatic.

**How GPS handles same-day site transitions:**

When a worker leaves Site A and arrives at Site B, they clock out of Site A (GPS captures departure coordinates and time) and clock in to Site B (GPS captures arrival coordinates and time). The gap between the two — transit time — is either not paid (per company policy) or tracked separately under a transit or drive-time cost code.

The time record shows:

- Job 101: clocked in 6:58am (GPS: downtown site), clocked out 11:32am (GPS: downtown site) — 4h 34m
- Transit: 11:32am–12:15am
- Job 102: clocked in 12:18pm (GPS: residential site), clocked out 4:47pm (GPS: residential site) — 4h 29m

Each job receives the correct hours. Each GPS record confirms the worker was actually at that location during those hours. No reconstruction, no dispute about whether it was 11:30 or noon when they left the first site.

**Geofence enforcement for multi-job workers:**

A worker assigned to both Job 101 and Job 102 sees both projects in their app. The geofence on Job 101 allows clock-in only from the downtown site; the geofence on Job 102 allows clock-in only from the residential site. At each location, only the correct job is accessible for clock-in — the system enforces the right attribution automatically.

**When GPS verification proves wrong site attribution:**

Occasionally a worker's GPS record shows they clocked into Job 101 while at the Job 102 location — a manual error in project selection. GPS verification catches this in the supervisor dashboard immediately. The correction happens the same day when the error is fresh, not during payroll when the worker can't remember which site they were at on Tuesday three days ago.

## Cost Code Management Across Multiple Active Jobs

![project management per job](https://blog.tasktag.com/hs-fs/hubfs/3%20-%202026-09-30T213807.824.jpg?width=600&height=450&name=3%20-%202026-09-30T213807.824.jpg)

**Cost codes are where multi-site crew time tracking produces its most valuable data — and where it most commonly breaks down.** Workers who select cost codes without direction, or who default to "general labor" because it's the first option in the list, produce job cost reports that look complete but don't tell the PM anything useful.

**The morning huddle protocol for cost codes:**

Every morning, before the crew starts work, the foreman assigns cost codes for the day. Not "pick whatever applies" — explicit assignment:

> "Martinez — you're on the concrete deck pour today, that's code 03.200. Thompson and Park — you're continuing the formwork from yesterday, code 03.100. Johnson — you're on rebar placement, code 03.150."

Workers open their [construction time clock app](https://blog.tasktag.com/construction-time-tracking-software), select the project (or it auto-selects from GPS), select the assigned code, and clock in. The PM sees: 1 worker on deck pour, 2 on formwork, 1 on rebar placement — exactly what the schedule predicted.

**Mid-day cost code changes:**

Construction work doesn't always stay in one cost code all day. A worker who finishes formwork at 10am and switches to deck prep work needs to switch cost codes mid-shift. Good [construction time keeping software](https://blog.tasktag.com/construction-time-tracking-software) handles this with a mid-shift code change — the worker clocks out of the formwork code and clocks into the deck prep code, creating two records for the same day from the same site.

**Cost code discipline creates real data:**

After 20 jobs tracked with disciplined cost codes, the PM has something genuinely valuable: actual hours by scope, by crew, by project type. The estimate for the next similar job uses real historical data instead of intuition. The foreman whose framing crew consistently runs 15% over on rough electrical has a pattern that shows up in the data — and can be corrected before it becomes a problem on the next job.

For how cost code data connects to financial reporting, see [construction WIP report](https://claude.ai/blog/construction-wip-report) and [contractor profit and loss statement](https://claude.ai/blog/contractor-profit-and-loss-statement).

## The Real-Time Dashboard: What Multi-Site Visibility Actually Looks Like

**The superintendent managing crews across five job sites shouldn't have to call each foreman at 7:30am to find out who's on site.** Real-time [construction employee time tracking](https://tasktag.com/features/gps-time-tracking/) shows the current state of every crew on every job at once — who's clocked in, from where, on what cost code, for how long.

**What the dashboard shows at 7:30am:**

| Job | Workers Clocked In | Workers Expected | Status | GPS Anomalies |
| --- | --- | --- | --- | --- |
| Job 101 — Downtown TI | 4 of 4 | 4 | On track | None |
| Job 102 — Custom Home | 5 of 6 | 6 | 1 missing | None |
| Job 103 — School Reno | 8 of 8 | 8 | On track | 1 outside geofence |
| Job 104 — Commercial | 1 of 2 | 2 | 1 missing | None |
| Job 105 — Warranty | 1 of 1 | 1 | On track | None |

**Actions taken immediately from the dashboard:**

- Job 102 missing worker: call the foreman — is the worker running late, did they call in, or is this a clock-in failure?
- Job 103 GPS anomaly: the worker clocked in but GPS shows them at the school parking lot, not the building site — did they clock in from the truck?
- Job 104 missing worker: confirm whether the second worker was reassigned to another job or is simply late

These conversations happen at 7:30am when the information is actionable. Without real-time crew tracking, they happen on Friday during payroll when no one clearly remembers and the company has already paid for hours that may or may not have been on site.

**Overtime alerts:**

The dashboard shows cumulative hours for each worker in real time. When a worker crosses the 8-hour daily threshold (or 40-hour weekly threshold), the supervisor sees an alert. The superintendent can decide — is this legitimate overtime, or did this worker forget to clock out at lunch? The correction happens today.

## Subcontractor Time Tracking in a Multi-Site Company

**Direct employees are the easier half of multi-site crew tracking. Subcontractors are harder.** Sub workers don't appear in the GC's [construction employee time tracking app](https://blog.tasktag.com/construction-time-tracking-software) unless the GC requires sub time tracking as a contract condition. Without that requirement, the GC has no visibility into whether sub crews are on site, how many workers showed up, or whether T&M hours billed match hours actually worked.

**Three levels of sub time tracking:**

**Level 1 — No requirement:** Sub provides weekly T&M invoices; GC has no independent verification. Common. Problematic for large T&M scopes where billing disputes are likely.

**Level 2 — Sub uses their own system:** GC requires the sub to use a GPS-verified time tracking system and submit records with T&M invoices. GC can verify sub's records against their own site documentation. Better than Level 1, requires trust that the sub's records are accurate.

**Level 3 — Sub uses the GC's system:** Sub workers are added to the GC's [construction time tracking app](https://blog.tasktag.com/construction-time-tracking-software) for the duration of the project. Their clock-ins appear in the GC's dashboard alongside direct employees. GPS verification is the same for both. This is the gold standard for T&M-heavy projects with prevailing wage requirements.

For sub coordination and when sub relationships break down, see [how to fire a subcontractor](https://claude.ai/blog/how-to-fire-a-subcontractor).

## Weekly Time Review: What to Check Before Payroll Runs

**The most efficient use of multi-site time tracking software isn't the payroll export — it's the daily review that catches errors before they stack up.** A 15-minute end-of-day review by the superintendent eliminates the 4-hour payroll reconciliation at the end of the week.

**Daily review checklist (superintendent, 15 minutes):**

- \[ \] All workers who should have worked today are clocked in and out — no missing records
- \[ \] Clock-out times are reasonable — no worker showing 11+ hours without prior authorization
- \[ \] GPS coordinates for clock-in and clock-out are within the correct site boundary
- \[ \] Cost codes on all records match today's work plan
- \[ \] Any mid-day transitions are recorded correctly — clock out of Job A, clock in to Job B

**Weekly review before payroll export (15 minutes):**

- \[ \] Total hours per worker by job match the superintendent's knowledge of where each person worked
- \[ \] Overtime hours flagged — any unplanned OT requires explanation before payroll approves it
- \[ \] Certified payroll projects have complete daily records — no gaps in the week
- \[ \] Any pending corrections from daily reviews are resolved
- \[ \] New workers who started this week were enrolled in the system before their first clock-in

**What happens when errors aren't caught before payroll:**

Payroll processes with wrong hours. Workers receive incorrect checks. Corrections require adjustment payroll runs that cost time and create paper trails. Job cost reports show incorrect labor by project and cost code — a distortion that persists in the historical data.

## Multi-Site Crew Tracking for Specialty and Landscape Contractors

**Multi-site time tracking isn't exclusive to vertical construction.** Landscaping maintenance companies, irrigation contractors, and specialty trade contractors face the same problem at higher frequency: crews dispatched to 8–15 locations per day, with per-location billing, and no reliable system for verifying which crew was at which location and for how long.

For landscape and outdoor crew time tracking across multiple properties, the GPS verification function of [construction time keeping software](https://blog.tasktag.com/tag/time-tracking-for-landscapers) works exactly the same way: clock-in at Property A records GPS coordinates, clock-out records coordinates and duration. Per-property billing is GPS-verified. Route efficiency is visible in the time records.

---

## Common Multi-Site Time Tracking Mistakes

![Common Multi-Site Time Tracking Mistakes](https://blog.tasktag.com/hs-fs/hubfs/3%20-%202026-09-30T213816.341.jpg?width=600&height=450&name=3%20-%202026-09-30T213816.341.jpg)

**One geofence for the whole company**

Some apps allow a single geofence for the company instead of per-project geofences. Workers can clock into any job from anywhere. The result is no location enforcement — workers clock in from home into whatever project they're assigned to, and the GPS record is meaningless.

**Not assigning workers to projects before their first clock-in**

A worker who arrives on site and isn't assigned to the project in the system can't clock in — or worse, clocks into a catch-all "unassigned" project that creates reconciliation work. Assignments should be made when the project is set up, not the morning the crew arrives.

**Allowing "general labor" as a default cost code**

The easiest code to select is the one that requires the least thought. If "general labor" or "miscellaneous" exists in the cost code list, it will be overused. Remove it. Workers forced to select a specific code select correctly.

**Reviewing time records only at payroll**

A daily 15-minute review costs less than a 4-hour weekly reconciliation. Errors caught the same day they occur take 30 seconds to fix. Errors discovered 5 days later require investigation.

**Not tracking warranty and rework separately**

Warranty work and deficiency rework belong in a separate project or cost code — not mixed with production labor on the original job. When they're mixed, the job looks like it ran over budget and the warranty cost is invisible. See [construction defect claims](https://claude.ai/blog/construction-defect-claims) for why tracking warranty labor separately matters past project closeout.
